The brief, as we understood it
“
Move every flat, every payment and every approval out of registers and files and into one system our members can rely on, and keep their data safe.
- Our reading of the brief handed to Milleniance at the start of the engagement
01 - The challenge

A large force, a long list of flats, and everything on paper.

The client is a housing society that helps members of a metropolitan police force buy their own homes. Behind every flat sits a long trail: allotment, down payments, instalments, reminders, late fees and approvals. All of it was being tracked manually.

Manual records do not scale and do not forgive mistakes. The society needed a system that could hold the flat inventory, run the billing accurately and keep sensitive personal and financial data of serving police personnel secure.

  • Flat inventory, payments and approvals all managed by hand
  • Instalments, notifications and late fees that had to be exact
  • Sensitive data about serving police personnel that had to stay protected
BEFOREAFTER Paper registers Manual EMI tracking Slow approvals One ERP Automated billing Tracked approvals
02 - The approach

Model the whole housing lifecycle, and design security in from day one.

We mapped the full journey of a flat from inventory to final payment and built the ERP around it: allotment, down payments, EMIs, notifications, late fees, approvals, and the roles and responsibilities of everyone who touches the process.

Because the data belongs to serving police personnel, security and data management were treated as a primary requirement, not a final layer. The platform has now been maintained and supported continuously since 2011.

  • The full housing lifecycle modelled end to end
  • Roles and responsibilities defined for every type of user
  • Security and data management treated as a top priority

"If your most important records still live in registers, the first system you build is the one that has to last."
